Mattis Travel, based in Toledo, Ohio, provides personalized travel planning. This policy explains how we handle personal information through www.mattistravel.net, our Facebook business page and messages, vacation request forms, email signup forms, and related travel-planning communications. It covers information Mattis Travel handles; platforms and travel suppliers also have their own privacy policies.

2. Information we collect

When you contact us or complete a form, we collect the information you provide. This may include your name and preferred name, email, telephone number, city, state or province, country, preferred contact method, travel dates, destinations, departure location, budget, traveler counts, children’s ages, travel preferences, celebrations, referral details, messages, and electronic acknowledgment or signature.

You may choose to share mobility, accessibility, sensory, dietary, or room-configuration needs. These details may reveal sensitive information. Share only what is necessary to plan your travel; you do not need to provide a diagnosis or medical records in an initial inquiry.

If you proceed with a booking, additional information required by the supplier may be requested through an appropriate booking process, such as traveler legal names, birth dates, identification details, and payment information. Do not send full payment-card details, passport scans, Social Security numbers, or medical records through public Facebook comments, Messenger, ordinary email, or our general inquiry and email signup forms.

If you provide information about another traveler, you should have their permission or appropriate authority to do so.

3. How we use information

We use information to respond to inquiries; prepare and compare travel options; coordinate requested quotes, bookings, and accommodations; communicate about your travel; maintain business records; address service issues; and meet applicable legal obligations.

We use accessibility and related details to understand requested accommodations and communicate relevant needs to suppliers involved in your trip.

When you separately subscribe, we use your contact information to send travel inspiration, offers, guides, and agency news. Requesting a vacation quote alone does not enroll you in promotional emails.

4. When information is shared

We do not sell or rent customer information or customer lists. We share relevant information with service providers that support our operations, such as form hosting, website hosting, email services, and business record systems, and with travel suppliers or booking partners as needed for the services you request. These may include a host agency, airlines, cruise lines, hotels, resorts, tour operators, transportation providers, or travel insurance providers involved in your inquiry or booking.

We share accommodation details relevant to arranging the assistance you request. We may also disclose information when required by law or reasonably necessary to address fraud, security concerns, or legal claims.

Travel suppliers and platforms may handle information under their own privacy policies.

5. Jotform, Facebook, website technology, and third-party links

We use Jotform to host forms and receive responses. Facebook and Messenger are operated by Meta. Our website, embedded services, and the platforms you use may process technical information such as IP address, browser or device information, visit activity, and cookies or similar technologies.

6. Your communication choices

Promotional email signup is optional and separate from permission to respond to a travel inquiry. You may unsubscribe using the option in a promotional email or by contacting bookinginfo@mattistravel.net with “Unsubscribe” in the subject line. Opting out of promotions does not prevent necessary communications about a requested quote, active booking, or service matter.

Submitting a vacation request does not authorize unrelated automated marketing calls or promotional text messages.

7. Retention and security

Information is retained for the purposes described here, including responding to requests, supporting travel arrangements, keeping business records, resolving disputes, and meeting applicable legal or accounting obligations. Retention needs vary by the type of information and the status of your relationship with us.

No internet transmission or storage system is completely secure. Please limit sensitive information in initial inquiries and contact us for an appropriate way to provide information required for booking.

8. Privacy requests

Contact bookinginfo@mattistravel.net to ask about your information or request access, correction, or deletion, or to withdraw optional marketing consent. Available rights depend on applicable law. We may verify your identity before acting and may need to retain information for an active booking, legal obligation, or other permitted purpose. A request to Mattis Travel does not automatically delete records held independently by a travel supplier or platform.

9. Children and family travel

Our inquiry and signup services are intended for adults. Parents, guardians, or authorized adults may provide children’s ages and other information needed for family travel. Children under 18 should not independently complete these forms. If you believe a child has submitted information directly without appropriate adult involvement, contact us so we can review it.

10. International travel and services

Travel suppliers and service providers may process information in the United States or other countries, including your destination. Privacy protections may differ by location.
